Committee Secretary — Minutes and Correspondence Support
Neighbourhood Support Rotorua supported by Volunteering Services (BOP)

Neighbourhood Support Rotorua is looking for a volunteer Committee Secretary to support our committee with monthly meeting minutes and general correspondence.
This is a practical, important role that helps keep our volunteer-led organisation organised and moving forward. We are not looking for someone to take on a heavy workload — we are looking for someone reliable, organised, and comfortable with basic administration.
Key duties include:
Attending our monthly committee meeting Taking clear and accurate minutes Preparing and sending out minutes after the meeting Helping with general correspondence when needed Keeping basic committee records organised Working alongside the Chairperson and committee members
Skills and experience that would be helpful:
Good written communication Basic computer and email skills Ability to take clear notes Reliability and confidentiality Previous minute-taking experience would be helpful, but is not essential
Neighbourhood Support Rotorua is a volunteer-led community organisation that helps connect neighbours, strengthen local networks, and support safer, more resilient communities across Rotorua. We work with Street Contacts, residents, Police, Rotorua Lakes Council, emergency management, and other community partners to share safety information and encourage neighbourhood connection.
This role would suit someone who enjoys being organised, likes supporting community mahi from behind the scenes, and wants to make a meaningful contribution without needing to take on a large number of hours.
The time commitment is approximately 3–5 hours per month, including attendance at one monthly committee meeting and time to complete the minutes and any follow-up correspondence.
Support and guidance will be provided.
