Te Whai Community Trust is a community organisation based in Mangawhai, delivering services and programmes that strengthen wellbeing and belonging across the district. The Trust is funded through grants, donations, contracts and community partnerships, and the Board is responsible for the stewardship of those funds.

Mō tēnei tūranga mahi | About the role

The Secretary is a full trustee, carrying the same duties as every other member of the Board, with additional responsibility for the integrity of the Board's governance process and records. The role works closely with the Chair, the Services Manager and the Partnerships Manager.

  • Supporting the Chair with the meeting cycle, agendas, Board papers and the annual work plan
  • Ensuring minutes are accurate, decisions are properly recorded and resolutions are followed through
  • Maintaining the Trust's governance records, including the Trust Deed, register of trustees, interests register and policy register
  • Monitoring the Board's compliance with the Trust Deed and its own policies
  • Supporting the AGM and the trustee appointment and induction process

Ko wai koe | About you

  • Experience in governance administration, company secretarial work, or senior executive support
  • Strong attention to detail and a disciplined approach to records and deadlines
  • Familiarity with charitable trust compliance, or the capability to become familiar with it quickly
  • Sound judgement and discretion in handling confidential information
  • An understanding of working in the not-for-profit and charitable sector
  • A clear understanding of the boundary between governance and management
  • A strong commitment to Te Tiriti o Waitangi, our values, and to the Mangawhai community

Diversity of background and perspective is important to us, and we welcome applications from candidates with a range of experience. This role suits an experienced governance professional, or would also suit someone building toward wider governance work with the support of an established board.

Commitment required

Monthly Board meetings, currently the fourth Monday of the month, 9am to 11am in Mangawhai, with preparation time before each meeting and record keeping and compliance work through the year. The total commitment is estimated at around 6 hours a month.

The position is voluntary and unremunerated. Reasonable expenses are reimbursed. Trustees must meet the fit and proper person requirements of the Charities Act 2005, and undergo police vetting.
