Graduate Women New Zealand Inc - Secretary

GWNZ Inc is recruiting for a Secretary! The purpose of the secretary role is to support the GWNZ National Executive in fulfilling its purpose — to empower women through education — by ensuring effective governance, management, and meetings.
Primary responsibilities:
Governance
- As a member of GWNZ National Executive, contribute to the governance of GWNZ Inc.
- Support GWNZ as an incorporated society, ensuring compliance with Companies Office and Incorporated Societies Act requirements. -Provide guidance to ensure GWNZ’s legal and constitutional obligations are upheld.
**Management **
- Oversee general management and operations of the GWNZ National Executive.
- Maintain accurate and current records through SharePoint, ensuring all governance and operational documentation is complete and up to date.
- Manage and respond to general GWNZ correspondence and queries.
- Ensure National Executive members and Charitable Trust Board trustees can access our digital platforms (website/google analytics, Microsoft 365 Business Basic/SharePoint, MailChimp, Xero) and outgoing members have their access removed.
- Ensure effective contracts for service and licensing of GWNZ’s digital systems e.g., GWNZ domain name, hosting of the GWNZ website, Microsoft 365 Business Basic/SharePoint, MailChimp, Xero).
**Meetings **
- Schedule and coordinate monthly National Executive meetings and the Annual General Meeting.
- Distribute meeting papers, take minutes, and track follow-up actions.
- Provide technical support for GWNZ virtual meetings (Zoom/Teams).
Specific knowledge & skills:
- Knowledge of incorporated societies' governance and reporting requirements.
- Experience with formal meetings, minute-taking, and correspondence.
- Proficiency in Microsoft 365 Business Basics applications e.g Word, Excel, Power Point, SharePoint, Teams.
- Familiarity with digital platforms: Mailchimp, website content management systems (our current CMS is Drupal), Xero, Zoom.
General skills & experience:
- An interest in and alignment with the values and purpose of Graduate Women New Zealand.
- Must be a current member of a GWNZ branch or the Independent Members Network (or enrol as a member upon appointment).
- Strong oral and written communication skills
- Able to apply brand guidelines
- Confidence in working digitally and virtually.
- Good organisation and time management skills.
- A team player who can also work independently.
Tenure of Position: Two years. With review at one year and then renewable for up to two further terms (maximum six years).
Appointment: Elected at the Annual General Meeting or co-opted by the National Executive.
A minimum notice period of three months is required to allow for a smooth transition.
Note: This role is a voluntary position.
